How to hire an employee from Ukraine - step by step?
Dear Employer, below, we briefly present how to proceed if you need to learn how to hire an employee from Ukraine. The proposed procedure for legalising the work of Ukrainian citizens is also provided for foreigners from Armenia, Moldova, Belarus, Russia, and Georgia.
Step 1 - Visit the Labor Office

Register the statement in the Labor Office - You must start with this!
- Make a statement to the Employment Office in the Powiat where your company is registered and in the working proprietorship where you are registered.
Remember! You cannot hire a foreigner based on a statement from the UP:
- if he has a visa whose purpose is to issue 01, 20, 21, or is a citizen of countries other than Ukraine, Belarus, Russia, Moldova, Georgia, and Armenia.
- once you have used 180 days of work in the last 12 months, get a Type A work permit at the provincial office
- for Ukrainian citizens coming under a visa-free regime - you can employ such people by submitting a statement, but not longer than three months
or a visit to the Provincial Office
- Get a type A work permit at the Voivodeship Office
- In a situation where a foreigner has already used 180 days of work in the last 12 months based on a statement from the UP of other employers, a work permit should be obtained by applying to the appropriate Voivodship Office. The employee can get an annual visa and come to work based on such a permit.
Step 2 - it's time to sign the contract.

After you get the statement, you can sign the contract with the employee or contractor.

Sign the contract with the employee (employment contract, commission - by the submitted statement to the Labor Office)
Step 3 - report the employee to ZUS
- Report the employee / Contractor to Zus
- We also suggest obtaining a NIP number for a foreigner at the Tax Office by submitting the NIP-7 or ZAP-3 form.
- You have seven days to register an employee with ZUS. It will also be helpful in the future to obtain a NIP number for a foreigner
Step 4 - Additional activities
- During employment, do not forget to register the foreigner
